Administrative & HR Assistant / Receptionist
Admin, HR, Accounting
Business-level fluency in Japanese and English, both spoken and written
This role is a varied and people-facing position that supports the smooth day-to-day operations of the office. The main focus is administrative work with additional responsibilities in reception and HR support. You will work closely with multiple departments, helping keep things organised, welcoming visitors, and supporting the team during busy seasonal periods. This position is ideal for someone who enjoys variety, working with people, and being at the centre of a busy office. No two days are the same, and you’ll gain exposure to multiple departments while supporting a friendly, international team.
Key Responsibilities
Administration
- Entering and managing utility costs for managed properties
- Recording and organizing general expenses
- Supporting expense tracking and cost management across different departments
- Assisting with day-to-day administrative tasks to keep operations running smoothly
HR Support
- Assisting with administrative procedures before and after the season
- Supporting the HR team with general office and documentation tasks as needed
Reception
- Welcoming guests and visitors at the front desk
- Handling enquiries from guests, owners, suppliers, and external partners
- Answering and directing general phone calls in a professional and friendly manner
- Handling and completing payments
- General reception, administration, and record keeping
- Office opening and closing procedures
Key Qualities
- Business-level fluency in Japanese and English, both spoken and written
- Previous experience in an administrative or office-based role
- Experience working in an international environment, or a positive attitude and openness toward working with people from diverse cultural backgrounds
- Strong organisational skills and attention to detail
- Friendly, approachable manner with a willingness to support different teams as needed
Working Hours
40 hours per week
Remuneration
¥250,000 per month, depending on experience and language ability
